  • Job Description

    The Personal Assistant to the CEO plays a critical role in supporting executive operations, ensuring seamless daily management, and enabling the CEO to focus on strategic priorities. This position requires strong organizational skills, discretion, adaptability, and the ability to work under pressure in a fast-paced and dynamic environment.

    Key Responsibilities
    Executive & Schedule Management
    - Manage the CEO’s daily schedule, appointments, and reminders.
    - Organize meetings, prepare agendas in advance, and ensure proper follow-ups.
    - Screen calls, emails, and communications on behalf of the CEO.

    Communication & Coordination
    - Act as a key liaison between the CEO, internal teams, clients, and suppliers.
    - Coordinate meetings, business activities, and external engagements.
    - Summarize discussions, ideas, and action points from meetings accurately.

    Project & Task Management
    - Track and monitor multiple projects, ensuring timely progress updates.
    - Follow up on tasks, deadlines, and deliverables across teams.
    - Maintain structured workflows, checklists, and documentation systems.

    Documentation & Administration
    - Prepare, review, and organize documents prior to CEO approval or signature.
    - Manage filing systems, records, and expense documentation.
    - Coordinate with the accounting team to verify transfers, payments, and financial documents.

    Travel & Mobility Support
    - Arrange domestic and international travel plans as required.
    - Be available to travel overseas for extended periods (up to one month) when assigned.

Qualifications

  • Requirement

    - Bachelor’s degree in Business Administration, Management, International Business, Secretariat, or related fields
    - Minimum 2–3 years of experience as a Personal Assistant, Executive Secretary, or similar executive support role
    - Proven ability to support senior executives in a fast-paced working environment
    - Strong organizational and time-management skills with the ability to handle multiple priorities
    - Highly self-motivated, detail-oriented, and able to work under pressure with a high level of confidentiality
    - Good command of English (spoken and written); TOEIC 650–700+ is an advantage
    - Willingness and flexibility to travel internationally when required
