Job Description
Responsible for overseeing project document control processes, ensuring all documentation is properly managed, tracked, and distributed in compliance with established procedures and project requirements.
Job responsibilities
- Receives, processes, and manages all outbound and inbound documentation relating to the projects such as contracts, technical reports, presentation materials, design and engineering drawings and documents, project management/execution/control documents, testing & commissioning documents, and results/reports, method statements, standards, and other forms in accordance with an established specific document control flow and procedure, both in hard and soft copies.
- Ensures that a document log is maintained live and tracking real-time progress, to be able to monitor lagging and critical items and act with the document owner or responsible person accordingly.
- Ensures that the document attributes (i.e. document number, revision number, title, etc.) are accurate and in accordance with the established standards and procedures.
- Maintains ownership of the document control platforms such as the Master Document Delivery List, and any crossover to scheduling, data management, resource management, multi-discipline collaboration, and other platforms.
- Assigns Document Numbers, and Drawings Numbers to all Project Document Deliverables.
- Tags documents to respective personnel-in-charge, department heads, project managers, and other relevant actors.
- Continuously exploring and developing innovative ideas with respect to document management and control system.
- Optimizes the capability of available software, data management, and communication systems such as MS Teams to improve the current systems in terms of suitability, effectiveness, and efficiency.
- Assists on-boarding of new employees by facilitating training relating to the document management system and other topics that are relevant to the level and role of the new employee.
- Extracts, interprets, and analyses data, and generates reports and visualization materials based from the document management system, for management meetings, technical, project management, commercial presentations, external collaboration, and other requirements.
- Closely monitors, tracks, and coordinates with the personnel (internal or external – Client/Consultant/Vendor) interfaces to ensure that the documents are attended to, to avoid lags and delays in the output.
- Initiates, leads, strategizes, and formulates the framework for a Project-specific document management system.
- Supports the development of Quality Management Procedures in support of standardization of optimum practices.
- Adheres to company regulations, quality programs, values, and standard practices.
- Handling internal MOM such as weekly project meeting etc.
- Any tasks assigned by Superior from time to time
Qualifications
Requirement
- Bachelor's degree or Diploma in Engineering or equivalent qualification
- Minimum of five (5) years of work experience in a Document Management role for a Water Treatment or EPC Project company
- Demonstrated experience managing project documentation, including receiving, processing, assigning document and drawing numbers, and maintaining live document logs in both hard and soft copy
- Hands-on experience with document management software, electronic collaboration tools, cloud and server-based data storage, and project management tools
- Able to travel and deploy to project sites within the company's business territoriesEnglish Level
